Welcome to Takeaways AI ("Takeaways", "we", "us", "our"), operated by Future Visions LLC. We are committed to protecting your privacy and handling your personal information with transparency and integrity. This Privacy Policy explains how we collect, use, store, share, and protect your information when you use our mobile application ("App").
Takeaways AI helps you remember important details about people in your life by allowing you to store notes ("Takeaways") associated with your contacts and ask questions about this information using Artificial Intelligence (AI).
By using the Takeaways AI App, you agree to the collection and use of information in accordance with this policy.
2. Information We Collect
We collect information necessary to provide, improve, and secure our service:
- Account Information: When you create an account, we collect your email address and authentication details required for login and account management. Your login credentials may be considered "Sensitive Personal Information" under California law.
- Contact Information ("Contacts"): You provide us with information about your contacts (e.g., names) that you choose to store within the App to associate with your Takeaways.
- Takeaways (Notes / Sensitive Info): You create notes ("Takeaways") containing details you want to remember about your contacts. Under California law, the content of these notes may potentially contain "Sensitive Personal Information."
- Audio Data: When you choose to use the voice input feature to dictate Takeaways, we temporarily collect audio data directly on your device.
- Feedback and Suggestions ("Other User Content"): If you choose to provide feedback or suggestions directly within the App (separate from standard Takeaways notes), we collect that information.
- Usage Information: We collect information about how you interact with the App (features used, queries, frequency, duration, UI interactions), device type, OS, and IP address for functionality, security, and analytics purposes.
- Diagnostic Information: We may collect data related to your use of the App, such as crash logs, performance data (e.g., launch time, hang rate), and other diagnostic information to help us identify and fix problems, improve stability, and optimize performance.
- Payment Information (for Subscribers): Collected and processed by third-party payment processors via RevenueCat/Superwall/App Store. We do not directly store your full payment card details.
3. How We Use Your Information
We use the information we collect for the following purposes:
- To Provide and Maintain the Service (App Functionality): Using Account Info, Contact Info, Takeaways, Usage Info, Audio Data (for transcription), Feedback/Suggestions, Diagnostic Info, and Payment Info to operate the App, store your data, process AI queries, manage accounts and subscriptions, and provide support.
- To Transcribe Voice Input (App Functionality): Processing collected Audio Data to transcribe speech into text for Takeaway notes, initially aiming for on-device processing. We do not store Audio Data after transcription is complete.
- To Power AI Features: Sending relevant identifiable Takeaways (Sensitive Info, including transcribed text) to our AI Provider (OpenAI) solely to generate answers to your Q&A requests. Processing by OpenAI is subject to their policies.
- To Analyze Content Trends for Product Improvement: Analyzing the text content of Takeaways (including transcribed text) after removing direct user identifiers (on a de-identified or aggregated basis) solely to understand common patterns and themes for improving App features and UI.
- To Process Feedback and Suggestions: Using the feedback and suggestions you provide within the App (App Functionality) to understand user needs and potentially analyzing this feedback in aggregate (Analytics) to help prioritize improvements.
- To Improve App Performance & Stability (Analytics & App Functionality): Using Usage Information and Diagnostic Information (analyzed via tools like Mixpanel or diagnostic platforms) to understand user behavior, troubleshoot issues, perform A/B tests, monitor performance, enhance user experience, and fix crashes.
- To Communicate With You: Using your Email Address to respond to inquiries, provide customer support, and send essential service-related notifications (non-promotional).
- To Share App News and Offers (Marketing): Occasionally using your Email Address to send emails about Takeaways AI news, features, tips, or promotional offers. You can opt-out anytime via unsubscribe links.
- To Manage Subscriptions: Using Payment Info and Account Info.
- To Ensure Security and Prevent Fraud: Using various data types as necessary.
4. How We Share Your Information
We value your privacy and limit data sharing:
- AI Provider (OpenAI): Identifiable Takeaways (Sensitive Info) shared via API solely for generating answers (App Functionality). Subject to OpenAI's policies.
- Speech-to-Text Processing: Audio Data may initially be processed on-device (no external sharing by us). If/when third-party STT providers are used, Audio Data is shared only for transcription under agreement. We don't store audio post-transcription.
- Infrastructure Providers (Supabase): Used for database storage (all relevant data categories) and authentication. Subject to their security/privacy measures.
- Analytics and Monetization Tools (e.g., RevenueCat, Superwall, Mixpanel): We share Usage Information and Identifiers with these services for analytics, subscription management, and A/B testing. We do not share the identifiable content of your Takeaways, Contact details, or specific Feedback/Suggestions with these third-party analytics tools. Insights from de-identified analysis may inform overall metrics.
- Diagnostic Service Providers: We may share Diagnostic Information (like crash logs, performance data) with third-party services (e.g., crash reporting platforms like Firebase Crashlytics, Sentry, or platform providers like Apple) solely to help process, analyze, diagnose, and fix issues.
- Email Communications: We do not sell your email address or share it with third parties for their marketing purposes. We may use third-party email service providers acting on our behalf solely to send our own app-related communications (service-related and promotional).
- Legal Requirements: As required by law or legal process.
- Business Transfers: If Future Visions LLC is involved in a merger, acquisition, or asset sale.
We DO NOT sell your personal information to third parties for monetary compensation. (See Section 12 regarding potential CCPA "sharing").
5. Data Security
We implement robust security measures to protect your information:
- Row-Level Security (RLS): We use Supabase's RLS to ensure that you can only access your own data within our database.
- Secure API Key Management: We follow best practices for managing API keys securely.
- Encryption: Data is typically encrypted in transit (using TLS/SSL) and at rest by our infrastructure providers (like Supabase).
- Access Control: Internal access to user data at Future Visions LLC is strictly limited.
While we strive to use commercially acceptable means to protect your information, please remember that no method of transmission over the internet or method of electronic storage is 100% secure.
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with the services. The criteria used to determine our retention periods include:
- The duration of your active relationship with us (i.e., maintaining an active account).
- The need to maintain your data to provide the services you requested (e.g., storing Takeaways for recall, processing subscriptions).
- Our legal obligations (e.g., retaining records for compliance or dispute resolution).
- Operational needs (e.g., maintaining system integrity, processing backups).
When your account is deleted via the App's deletion feature, your associated Personal Information will be permanently removed from our primary systems according to our deletion schedules, subject to necessary retention for legal or security reasons (e.g., isolated backup archives which are eventually overwritten).
7. Your Privacy Rights
You have certain rights regarding your personal information:
- Access: You have the right to access the information we hold about you. The App provides a feature allowing you to download your entire dataset, including your contacts and associated Takeaways.
- Correction: You can update your contact information and edit your Takeaways directly within the App.
- Deletion: You have the right to delete your account and all associated information. The App provides a feature to permanently delete your account and data from our systems. Please note that deletion is irreversible.
- Portability: The data download feature allows you to obtain your information in a structured, commonly used format.
- Opt-Out of Marketing Communications: You have the right to opt-out of receiving promotional email communications from us at any time by following the unsubscribe instructions provided in those emails.
Residents of California should also refer to Section 12 ("Your California Privacy Rights") for additional rights. To exercise these rights, please use the relevant features within the App or contact us using the details in Section 14 ("Contact Us").
8. Children's Privacy
Takeaways AI is not intended for use by individuals under the age of 13 (or the equivalent minimum age in the relevant jurisdiction). We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child without verification of parental consent, we will take steps to remove that information from our servers.
9. International Data Transfers
Your information, including personal data, may be transferred to — and maintained on — computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those in your jurisdiction (e.g., where our AI provider, infrastructure, or other service providers operate). We rely on the security and data protection agreements provided by our third-party providers to safeguard your data during these transfers. Your consent to this Privacy Policy followed by your submission of such information represents your agreement to that transfer.
12. Your California Privacy Rights (CCPA/CPRA)
This section supplements the information contained in our Privacy Policy and applies solely to visitors, users, and others who reside in the State of California. We adopt this notice to comply with the California Consumer Privacy Act of 2018 (CCPA) as amended by the California Privacy Rights Act of 2020 (CPRA).
- Categories of Personal Information Collected: In the preceding 12 months, we have collected the following categories: Identifiers (Email, IP Address, Device ID, User ID); Personal info categories listed in Cal. Civ. Code § 1798.80(e) (Contact Names); Commercial information (Subscription history); Internet or other similar network activity (Usage Information); Audio information (collected temporarily for transcription when voice input feature is used); Diagnostic Information; Feedback and Suggestions; Sensitive Personal Information (SPI) (Account credentials, Takeaways content including transcribed text).
- Sources of Personal Information: Directly from you; Automatically from your device.
- Purposes for Collection and Use: As described in Section 3, including App Functionality, AI processing, De-identified Content Analysis for Improvement, App Performance Analytics, Communication, Marketing (First-Party Email), Subscription Management, Security, Diagnostics/Fixes, Processing Feedback.
- Disclosure of Personal Information for Business Purposes: In the preceding 12 months, we have disclosed relevant categories for business purposes to AI Providers (SPI for function), STT Providers (Audio, potentially future), Infrastructure Providers, Analytics Providers (Usage data/IDs), Diagnostic Service Providers, Payment Processors, Email Service Providers (Email for marketing/service comms).
- Sale and Sharing of Personal Information: We do not "sell" personal information for monetary compensation. Using third-party analytics or diagnostic tools might potentially constitute "sharing" under the CCPA/CPRA's broad definition depending on the specifics of data handling and contracts with vendors. As of the effective date, we engage analytics and diagnostic providers as described in Section 4. California residents may have the right to opt-out of such "sharing"; please contact us to inquire. We do not "share" for cross-context behavioral advertising.
- Use of Sensitive Personal Information (SPI): We collect SPI (account credentials, Takeaways content). Account credentials used for App Functionality/security. Identifiable Takeaways content used for App Functionality (storage, AI Q&A context). Additionally, for internal product improvement, we may analyze Takeaways content after de-identification (direct user identifiers removed), as described in Section 3. You control input/deletion. We do not use identifiable SPI for third-party analytics or marketing.
- Data Retention: As described in Section 6.
- Your Rights: You have the right to: Know/Access; Delete; Correct; Non-Discrimination. Right to Opt-Out of Sale/Sharing: Contact us regarding potential "sharing" via analytics/diagnostic tools. Right to Limit Use and Disclosure of SPI: Your right may be limited regarding identifiable SPI used for core functionality; you can control input/deletion, and contact us regarding the de-identified analysis. Right to Opt-Out of Marketing Emails: Via unsubscribe link.
- How to Exercise Your Rights: Use App features or contact us (Section 14). We may need to verify your identity before processing your request. You may designate an authorized agent to make a request on your behalf; the agent must provide proof of authorization.
13. Changes to This Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy within the App and updating the "Last Updated" date at the top. We may also provide notice through email or other prominent notification within the App prior to the change becoming effective. You are advised to review this Privacy Policy periodically for any changes. We will review and update this policy at least once every 12 months as required.
